Keep the family together in the record
Group everyone into a household with a head of household, record how people are related to one another, and check a whole family into shelter together. Enroll them in your programs and set goals with dated milestones for housing, employment and education, so progress is measured the same way for every family your team carries.
Run orientation and classes without a sign-in sheet
Set up recurring orientation sessions and language classes, check participants in at the door, add walk-ups, and close out each session with a short survey. Attendance is captured as it happens, per session, not reconstructed from paper at the end of a reporting period, and it is the deliverable most resettlement contracts are counted on.
Work in more than one language
Staff can use the platform in Spanish, and the public forms you put on your own website work in Spanish too, so an intake request does not depend on someone finding an interpreter first. The community resource directory records which languages each provider offers, so a referral can be filtered to somewhere the family will be understood.
Coordinate the partners around a family
Refer to partner organizations and government agencies with a real handoff you can follow — accepted, declined, or not a fit — governed by the family's consent, field by field. For housing, build a placement plan and work a prioritized request queue rather than a list of phone numbers.
